Identify the relevant place and time
Once immediate safety and care needs are addressed, notify the authorised CCTV custodian of the incident location and approximate time window. Include nearby approaches if they may be relevant. Explain any uncertainty in the timing. Do not assume a camera was recording simply because it was visible, or that its displayed time exactly matches another device.
Keep the preservation task controlled
Ask the custodian to follow the institution’s procedure for preserving original footage and documenting exports. Record the camera identifier, relevant time range and any clock discrepancy identified. Avoid using personal messaging apps as the routine transfer route. Access should remain limited because footage may capture patients, visitors and staff unrelated to the incident.
Plan before the next incident
Document who can receive an urgent preservation request outside office hours and how the request is acknowledged. Check retention and overwrite behaviour with the responsible technical team. Have qualified advisers determine case-specific legal and evidentiary requirements. A public safety campaign should not publish hospital footage merely because it supports its message.
